Introduction
We have started shifting some of our clients to the Zoho Mail platform because of:
- Issues with BlueHost Mailing and Name.com Hosting Mailing
- Overall hosting capacity limits (especially mail storage getting large compared to BlueHost’s limits)
- Extra features available in Zoho Mail
- A free option available for small clients (note: no POP or IMAP support with free accounts)
- Problems with mail migration when moving large email accounts between hosts — Zoho makes it easier
Accounting :
- You can have up to 5 accounts free ( until now ) but web access or zoho application access only no IMAP or POP3
- When you make the purchase try to browse and guest and get prices in EGP, they are cheaper than USD Prices
- Prepare you self to give out your phone number and Nationality ID Number , if purchase as person
- If purchasing as business you will need the TAXID and UIN number ( give by the Egyptian Taxes )
- until now ( April 2025 ) you cannot use Egyptian Debit Cards
- Paid Packages start with 5GB mailboxes, and you can purchase additional storage min (25GB) for specific users.
The Free Zoho Business Email Limits
- Maximum 5 users
- No POP or IMAP connection
- 5 GB each email box
- Mobile Application
- Migration tools From POP or IMAP Accounts
- Migration tools from Gmail as well
- You can have an Issue Migrating out of zoho free for the lack of POP/IMAP , yet until this moment you can export the emails as EML files
- You will need access to dns records of the domain to verify and setup
Migration
- After purchasing (for paid plans) and domain verification:
- Mailboxes are created (note: you need one additional account for purchasing/invoicing/control)
- Easy migration tools generally work smoothly and migrate server-stored emails.
- Emails stored locally in Outlook (not on the server) need a separate plan.
- Contacts are not migrated automatically — you’ll need to export/import them manually for each account.
Practice
- Very high availability and reliability.
- High client satisfaction — (please recheck your reasons for migration to confirm.)
- Remember User Can See All Organization Contacts / Users ( meaning you cannot mix Two organizations in single business account )
Warnings
- Decide whether to enable/disable IMAP or POP (or both) for paid clients.
(I recommend IMAP only to make sure emails are fully synchronized with the server.) - You might not receive emails from your website if the sender is not whitelisted.
- You must properly set SPF, DKIM, and MX records to ensure you can receive legitimate emails (especially from your website, if any).

تعريف – اضافة الحساب الى اوتلوك outlook
- في اصدار 2010 من قائمة File ثم Add Account
- في إصدار 2020 او اى اصدار احدث من ال Left Panel
- يتم اختيار تعريف الاعدادات يدويا، “Manually configure server settings”
- يتم ادخال ال email & password
- يتم تعريف بيانات ال Server في ال Incoming & Outgoing
- يتم معرفة بيانات ال server من ال admin account ، من ال settings “icon” ثم Mail accounts
- ملحوظة: اذا سيتم اختيار ال Incoming server ان يكون IMAP ، لابد من التأكد ان ال account
لأي فرد يتم به تفعيل اختيار IMAP Access، يتم ذلك من ال settings “icon” ثم Mail accounts
- ملحوظة هامة: في ال Zoho لمنع تكرار الرسالة في ال Sent items، مما يؤدي الى تكرارها في ال Outlook من ال settings “icon” ثم Mail accounts اسفل SMTP نلغي تفعيل “save copy of sent mail”
